When will I get my transcripts back?

We offer standard (3-5 business days), rush (1-2 business days), next day, and same day service. With our large staff and skilled transcriptionists, we can typically meet almost any deadline. If we miss a deadline, we’ll take 5% off the cost of the project, no questions asked.

How are the transcripts sent to me?

Completed transcripts are typically emailed to you as Microsoft Word documents. We can make other arrangements as necessary.

What types of audio recordings can you transcribe?

We can handle just about any audio or video format out there. We can transcribe any digital audio files including .wav, .mp3, .dss and other. We can also handle
microcassettes, cassette tapes, DVDs, or nearly anything else. In some cases, we may have to convert your audio into a digital format before we transcribe it.
For this reason, we highly recommend digital files - they'll save you time, save you money, and result in quicker turnaround.

Can you transcribe video tapes and DVD’s?

Definitely.

How can I get the best recording possible?

To guarantee the best possible audio quality, do your best to eliminate background noise and make sure that the speakers are in close range of the recorder. Buying a simple external microphone can also drastically improve the sound quality. Better sound quality will result in a cheaper, more accurate transcript.

What are time stamps?

Time stamps and time code are used to link the written transcript to the audio or video file. Time stamps are used for audio files; as each minute of the recording passes, the transcriptionist types that minute as its own line within the written transcript. The frequency of the time stamps is up to you - most of our clients have them added either at every minute or at every five minutes. Contact an Account Manager for more information.

Why charge per audio minute?

Charging our clients a flat transcription rate for each recorded minute of audio keeps them from getting ripped off by page counts, work hours, etc. We publish our transcription rates so there aren't any surprises when you get your bill. We want to save you time not just by using our services, but also in finding the transcription provider that is best for you.

How accurate are you?

We guarantee a 98% or higher rate of accuracy with good audio; typically our accuracy is closer to 99+%. If you’re not happy, we’ll retype the work at no additional charge.

How do I get my material to you?

You can upload it to us on our site or email your digital files to files@landmarktranscription.com Video and audio cassettes should be sent to our offices at 509 St. Davids Avenue, St. Davids, PA, 19087.

How do you ensure confidentiality?

Our client’s confidence is key to our success to so we take it seriously. Not only do all of our staff and employees sign a confidentiality agreement, we perform an annual audit of all of our transcriptionist’s computers to ensure that minimum security levels are being adhered to. We look for things like password protection, virus and privacy protection, secure wireless connections and many other items. Finally, each transcriptionist must undergo an annual training session on maintaining data security and confidentiality.

How often will I be billed?

We can bill you for our transcription services after the completion of each project or keep a running invoice for you and bill at the end of each month. You may pay either by credit card or check, but we do require a valid credit card on file for all clients.

Can you handle a large projects?

Absolutely. We are confident that we can accurately transcribe virtually any size project for you. If you have a high volume project or specific needs, just give us a call or send us an email!

Should I send you my original recordings?

If at all possible, please make a copy of your originals. While we make copies once we receive them, things do get lost or destroyed in the mail. If you do send us originals, we’ll treat them with the utmost of care.
